Job Description
We are seeking a proactive, highly organized Senior Administrative Assistant based in our New York office to support the Head of North America Product and a small Investments Team. In this high-impact role, you will serve as a trusted partner to senior leaders, helping them operate effectively through thoughtful calendar management, clear communication, and seamless coordination. You will influence the rhythm of the team by organizing key meetings, events, travel, and department initiatives, while providing project support across a dynamic investment organization. - Proactively manage complex executive calendars, prioritize competing demands and coordinate schedules across internal and external stakeholders.
- Plan and organize meetings, conferences, town halls, team offsites and other events, including logistics, materials, travel and follow-up activities.
- Review and respond to emails on behalf of leaders, as appropriate, and identify items that require attention, decisions or follow-up.
- Coordinate domestic and international travel arrangements and prepare accurate, timely expense reports and invoices.
- Create and format presentations, communications and other business materials to support leadership and team priorities.
- Support department operations, including employee recognition, timekeeping, budgets, invoices, supplies and related administrative processes.
- Provide project and program support by researching questions, coordinating workstreams, tracking activities and responding to ad hoc requests.
- Mentor and onboard administrative colleagues, provide guidance where appropriate and contribute to consistent administrative practices.
- Provide back-up coverage for other administrative assistants and collaborate across the administrative community to maintain continuity of support.
Qualifications
- 1 to 3 or more years of administrative or support experience, with demonstrated success managing multiple priorities in a fast-paced environment.
- Experience of working in a corporate environment is preferred.
- High school diploma or General Educational Development (GED) credential required; an associate or bachelor’s degree, or equivalent experience, is preferred.
- Strong proficiency with Microsoft Outlook, Word, Excel and PowerPoint, as well as experience using expense, procurement and travel tools such as Concur and Ariba.
- Excellent organizational and prioritization skills, with the ability to adapt quickly, anticipate needs and work effectively with minimal direction.
- Sound judgment, discretion and professionalism when handling confidential or sensitive information.
- Strong written and verbal communication, collaboration and problem-solving skills, with a service-oriented approach to supporting leaders and teams.

Our employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.
Base Pay Salary
The estimated hourly rate for this role is $30.10 - $41.35 / hour. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role.
